Implementation Guide

Sign into Bamboo using the Non-Employee account credentials you created in step 1.

You will be presented with an authentication screen that will ask you to authorize the Wellhub platform access to your BambooHR instance.

WHAT ARE THE DATA FROM BAMBOOHR THAT WILL SYNC WITH WELLHUB?

  • Employee_ID
  • First Name
  • Last Name
  • Work Email
  • Last Changed
  • Status
  • SSN - optional

Log into your BambooHR portal. Once logged in, click on settings, access levels and then custom access levels

Once you are in the new “Custom Access Level”, add an access level name (a unique name to help you remember which users this access is for) and a description of this access level (this piece is optional but it will help you remember why it was created and can not specific areas of BambooHR that you would like the users to be able to access).

While staying on the same page as step 1, click on “What this Access Level Can See”, and here you will be able to configure the data fields that will be visible/shared with Wellhub (i.e. full name, email address, employee ID)

Next, click on “settings”, “access levels” and then choose the access level you would like to grant to a non-employee of the organization. Then click the action menu in the top right corner and select “add a non-employee BambooHR user”. 

Please enter the first name, last name and email address of the user and then assign them to the custom access level. 

After, click “save” and a link will be emailed to them to choose a password. Please note that this person cannot be an employee that has their email linked to their BambooHR account (this person might be someone external such as an external auditor, benefits provider, etc.). They will not have an employee profile, a “my info” tab and they will not show up in your company directory.

Final step is to log into the Wellhub Integration page! Enter your subdomain below and click, “connect”. Just as a reminder, this log in credentials must be the same as what you inputted in the previous steps to ensure Wellhub will only have access to the allowed fields you chose. 


Connect

ENTER THE SUBDOMAIN TO YOUR BAMBOOHR ACCOUNT

(The subdomain is the first part of your BambooHR URL e.g. http://subdomain.bamboohr.com)

After logging in, you will receive a pop up window saying, “Connection Successfully established.” This lets you know that Wellhub successfully received the API Key (all of the allowed fields you specified). You can close the window and email profserv@gympass.com and let the team know that all steps have been completed so we can move forward with the integration.

In order to synchronize your BambooHR employees with your Wellhub platform account, we will take you through a proper onboarding process with our sales and operations team but first, please follow the steps below to get started!
